Guidance for creating a research data management plan (RDMP) and requesting UWA approved data storage.

How do I create a RDMP in the UWA Research Data Hub?

To create your RDMP, log into the UWA Research Data Hub. You will be prompted to sign in with your UWA login UWAStaffNo@uwa.edu.au (for staff) or UWAstudentNo@student.uwa.edu.au (for HDR students) and your Uni ID.

What has happened to my RDMP in Qualtrics?

'Create Research Data Management Plan (RDMP)' in the UWA Research Data Hub replaces the old Research Data Management Plan (RDMP) form in Qualtrics. The Qualtrics form was decommissioned from 9/5/24.

The new enhanced RDMP will now link to other UWA systems and can be easily updated as needed throughout your research project.

You will need to create a new RDMP in the Data Hub to replace your old Qualtrics RDMP form.

To do this;

  • Log into UWA Research Data Hub.
  • Click on 'Create Research Data Management Plan (RDMP)'
  • Copy & paste the information from your Qualtrics PDF into the RDMP fields. Complete all mandatory fields* .

Can my supervisor contribute to my RDMP?

The RDMP is your responsibility. Your supervisor has "view" only access. Once the supervisor has reviewed your RDMP and provided advice and any suggested changes, it is up to the student to log in and edit the RDMP and save any changes.

I’m a new HDR student and about to commence working on an existing research project. Do I need to create my own RDMP that is separate to the larger project’s RDMP?

Yes, as a HDR student you are required to complete a RDMP as part of your candidature and upload a PDF copy to the GRS’s HDRHub
However, you may not need to request new storage. In your RDMP, in the Digital data storage section, you can select ‘Existing UWA Storage’ and include the pathname of the existing research data storage for the project. For example, for an existing IRDS data store, you would include a pathname such as: drive.irds.uwa.edu.au\MEDICAL-ABC-001. The project’s data store owner can then request permission to add you to their existing data store via the form available from UWA IT’s portal ServiceNow self-service page.

How can a PG Coursework/Honours students access the Data Hub?

PG Coursework and Honours students do not have access to the Hub. Access is only available to HDR candidates and UWA staff.

There is a work around if a student wants to complete a RDMP in the Hub for their research project or attach as a PDF for an ethics application. 

  • The Supervisor would need to log into the Hub and complete a RDMP on behalf of the PG coursework/Honours student.
  • In the Project section of the form, the supervisor would choose 'No' to HDR project.
  • In the Project/Activity overview, mention here that it is an Honours/Course work student project.
  • In the People section of the form, the supervisor needs to be listed as the CI and RDMP administrator. The student’s name can only be added to the Non-UWA Investigators field as this is the only field that can be manually entered and is not connected to the look-up fields and other University systems. The RDMP administrator is not a School ‘administrator’ so it could also be the supervisor. There needs to be two names listed on the RDMP so there is an alternative contact for queries about the research data storage and accessing the data. If one person involved in the project leaves the University, then we have another person to contact if needed.

My external collaborators cannot access my RDMP.

Only UWA staff and HDR students can log into the UWA Research Data Hub.

You will need to log in and export/download a PDF copy of your RDMP for UWA collaborators to view your RDMP.
Go to PLAN, 'View & Update RDMP" and download a PDF copy. 

How do I request new data storage for my research project/activity?

To request UWA approved data storage, you will need to complete a RDMP. You can submit a request for storage once your RDMP form is submitted via the 'View & Update RDMP' page. For guidance on UWA approved data stores, please visit the Research Data Management Toolkit.

I already have an IRDS Store/Teams space. How do I request additional storage?

We have a large dataset that is being used by multiple projects. Can we use the existing data storage for a new RDMP?

Yes. When completing your RDMP, there is an option to indicate that you are using existing storage and provide the pathname. Each individual project/activity will still require its own RDMP.
 
If multiple projects are using the same store, the owner or administrator of the store will need to manage access and permissions via the Service Portal form IRDS Access Permissions Changes.
 
Each individual project/activity’s Chief Investigator will still be required to close out any datasets generated during the course of their project upon its completion using the Dataset Action Record. If the dataset will be used by one of the other projects or a new project, this can be indicated on the Dataset Action Record by selecting ‘The dataset in its current data storage location will be used in a future project/activity and I will submit a new RDMP for this new project/activity’ in the Archiving and disposal section. A new RDMP can then be created or an existing one can be updated. 

How can I give 'read-only' access to an IRDS share?

If you need to provide a UWA colleague with 'read-only' access to an IRDS share, you can do this using the self-service portal form in the Uni IT Portal after the IRDS share has been provisioned. It is not possible to allocate 'read-only' permission through the Research Data Storage request.

Is a RDMP mandatory for all research projects?

A Research Data Management Plan is highly recommended for all projects as research best practice. A RDMP is mandatory for projects needing HREC approval and student research proposals in HDRHub . A PDF copy is required to be attached.  You will also need to complete a RDMP if you require UWA approved storage.

Who do I list as the RDMP administrator?

For the RDMP Administrator, select a UWA staff member who could be an alternative contact for this research project and its data. Two names are required to be listed on the RDMP in case the Chief Investigator is unable to be contacted for queries about the research data storage and accessing the data. For HDR Projects, where the UWA Chief Investigator is the HDR Candidate, the RDMP Administrator could be the Coordinating Supervisor.

Before including people on your RDMP, please ensure that you have their permission to be listed on the RDMP as they will receive a systems notification once the RDMP has been submitted.

I'm leaving the University, what do I do with my research data?

As per section 8B of the Research Integrity Policy, any research data created or linked to a research project is a University record and should remain in University managed storage.  
For any research data created by or used by you as an employee of the University and where you are the Information Custodian, please ensure you do the following:  
•    For data that is still required for an active project, login to the UWA Research Data Hub and update the relevant Research Data Management Plan with the UWA staff member who will assume responsibility for this data as the new Information Custodian. 
•     For data that is no longer required, login to the UWA Research Data Hub and complete a Dataset Action Record to initiate archival and/or disposal.  
•    For datasets in the UWA Profiles and Research Repository that require mediated access, please email help-repository@uwa.edu.au quoting the dataset name and new Information Custodian.  
If you are listed as a collaborator on a project, you will no longer have access to the data store once your UWA Uni ID stops working. If you will be continuing collaboration, you will need to discuss being added as an external collaborator with the UWA Information Custodian.
