Why is Qualtrics being reviewed?
Qualtrics is being reviewed due to changes in the pricing model and licencing from 2025 onwards that make the current provision of access to Qualtrics to all UWA staff and students unsustainable. As Qualtrics data is going to be migrated to an Australian server and a data migration is a given it is an appropriate time for any changes in platform.
What is the timeframe for any changes to the Qualtrics subscription?
The review of Qualtrics and assessment of alternative platforms will be completed before the end of the year. In the event that the Qualtrics subscription ends a decision will be made before the end of 2024 and we will inform users of any changes. Access to Qualtrics at the current level of access will continue to at least March 2025.
What if we are in the middle of a research project?
If any researchers are in the middle of an ongoing research project in Qualtrics that cannot be transferred to another platform access to Qualtrics will be maintained until the completion of the project.
What is the impact for professional staff?
Due to changes in in licensing even if the University retains a subscription to Qualtrics it will only be for academic staff. Professional staff will need to move to an alternative platform. There may be some capacity for professional staff to retain access to Qualtrics but only in instances where there are vital functionalities that cannot be replicated through the replacement options. Consideration will be given for any ongoing projects and processes if time is required to migrate or complete a project in Qualtrics beyond March 2025.
Can I migrate surveys and data?
If the University changes to another platform one of the essential criteria for any new platform will be the capacity to transfer content from Qualtrics and support to any users through the process. The University will work with the vendors in developing a planned migration process.
What alternative platforms are being considered?
QuestionPro is being considered as an alternative for academic staff and professional staff. The University is trialling QuestionPro until October 25th. The number of users that can be registered for the duration of the trial is limited but please get in touch through staffsupport-lib@uwa.edu.au if you have any questions.
BlueX is being considered as an alternative for professional staff. Some access to BlueX is already available through the University and you can access it here.
